Information Technology (IT) and Data Security Policy & Mobile Device Agreement
For Staff, Lay Employees and Volunteers
Welcome to the Exeter Coast and Country Methodist Circuit’s Information Technology (IT) and Data Security Policy & Mobile Device Agreement. This guidance has been created to help everyone who serves within the Circuit—whether as staff, lay employees, ministers, office holders, or volunteers—use technology responsibly and safely in support of our mission and ministry.
As a Circuit, we regularly handle sensitive information: personal contact details, safeguarding records, pastoral notes, and administrative data. How we manage, store, and share that information is an important part of our commitment to confidentiality, good stewardship, safeguarding, and compliance with Data Protection legislation (GDPR / UK GDPR).
This policy explains:
How Circuit information should be stored, accessed, and shared
Expectations when using Circuit-owned or personal devices
How to manage email, messaging, and communication securely
What to do if something goes wrong, including data breaches
Responsibilities for those using their own mobile devices for Circuit purposes
It is designed to support safe working practices, protect those whose data we hold, and help each of us play our part in keeping information secure.
Whether you are setting up a new device, sending an email, storing documents, or using your own phone for Circuit work, this policy provides the framework to ensure that all personal and confidential data is handled with care, respect, and legal compliance.
We invite everyone covered by this policy to read the following sections carefully and ensure they understand their responsibilities. Together, we can maintain a trustworthy and secure environment that supports the ministry of the Circuit and safeguards the people we serve.
